For a board meeting to be effective, it must be well-organized and orderly. It must have a strong leader as well as clear lines of communication set into place. By following the tips below, hosting an effective board meeting becomes much simpler.

Tip #1: Create an Agenda

Without a purpose or agenda, there is no reason in having a board meeting. Within the agenda, there should be an overall main purpose as well as subtopics of the main purpose that will be covered.

Tip #2: Send Out Reminders

If no one is aware that the board meeting is taking place, there is no way for the meeting to be effective. From two people to two hundred, every person that is supposed to be attending should be reminded a day or two in advance. Before inviting each and every worker of a company to a board meeting, it is best to sit down and evaluate which workers need to be there. Only those that must be there should be invited.

Tip #3: Start the Meeting On Time

If a board meeting is set to begin at 8:30 am, it should begin at 8:30 am, not a minute later. The first process to be carried out during the meeting should be a roll call. Taking note to which attendees made it on time will allow company owners to determine which workers are worth holding on to.

Tip #4: Review Past Meeting Minutes

Before new topics are to be discussed, it is best to finish any old business. By getting motions and second motions in regards to old business, the old business can quickly become finished business.

Tip #5: Discuss New Topics and Adjourn

After old business is taken care of, it is now time to discuss new business. The issue should be presented, voted on and then moved on from. Board meetings are not a time to discuss topics. Instead, they are a time to vote on them. After all topics are voted on, adjourn the meeting.
